Privacy notice

What we collect. The document, photos or answers you submit, an email address if you pay, and normal web server logs (IP address, browser, time). We do not ask you to create an account.

What happens to your document. It is sent once, over an encrypted connection, to our AI provider (Anthropic, servers outside South Africa) to produce your report, and it is not written to any database or file store by us. The report is returned to your browser in encrypted form; we decrypt it after payment and do not keep a copy. Anthropic's API terms state that API inputs are not used to train their models.

Payments. Card and EFT details are entered on the payment provider's own secure page (Paystack or Stripe). We never see your card number. The provider keeps the transaction record required by law; we keep the payment reference and your email for receipts and support.

Your rights (POPIA). You may ask what personal information we hold about you, ask us to correct or delete it, and object to processing. Because we do not store documents, there is usually nothing to delete beyond a payment record. Contact our Information Officer at info@optimised-ai.com; we answer within 30 days. You may also complain to the Information Regulator (inforegulator.org.za).

Why we may process it. To deliver the report you asked for (performance of a contract) and, for payment records, because the law requires it. You choose what to upload; do not upload more than the report needs, and remove other people's personal details where you can.

How long we keep things. Documents and reports: not stored at all; they exist in memory only while your report is produced. Payment references and the email you gave for a receipt: held by the payment provider for the period tax law requires (five years). Web server logs: rotated automatically by our hosting provider within days. Our technical logs record that an analysis ran and how long it took, not what your document said.

Cross-border transfer. Processing by our AI and payment providers happens on servers outside South Africa under contracts that require them to protect your information (POPIA section 72).

Cookies. We use no tracking cookies. Your browser's session storage holds your report only until you leave the page or unlock it.

Children. The service is for adults (18+).
